2011 AGM - MINUTES (Nick Wyatt) |

Date: 22nd November 2011 – The Masons Arms, Headington

1) Minutes of the 2009 AGM · It was agreed that the 2010 minutes as represented on the club website is a true record of the 2009 AGM.
2) Matters arising from 2009 AGM · None
3) Chairman’s report (Keith Ponsford) · Keith Ponsford reported on a “smooth” and successful 2011 season, with team selection easier than past years and all fixtures honoured. The cricket was very enjoyable, with both the arrival of new players, and definite signs of maturity from our younger players. · The Chairman confirmed that 2011 was his final year of office. He thanked the members of the club for the privilege of chairmanship, and for their support. He closed by saying how he has appreciated the opportunity to lead such a fine group.

5) Treasurer’s report
· The outgoing treasurer (Pete Wiblin) was unable to attend the AGM and the following accounts were made available after the meeting.

· The chairman led a vote of thanks to Pete, who is stepping down as treasurer after many years of service.
6) Fixture Secretary’s report (Keith Whiter) · See Keith Whiter’s report on the club website · Good progress on the 2012 fixture list so far – most weekends are already in book. · Queens dates have changed to mainly Saturdays, thus there will be more double headers next year. Not ideal, but the list is building and KW was asked to continue along pattern of this year where possible.
7) Proposals to change the constitution · OW raised a proposal that “committee members should only be able to hold one position on the committee”. This was raised to ensure that we do not close the opportunity for people outside of the main group to join the committee. KW agreed that we should encourage a range of people on the committee, but that there is a danger in making it constitutional that positions would be left unfilled. JW commented that we should endeavour to have as wide a group of people as possible understanding the mechanics of the club. KW said that we should make succession plans, to safeguard finances, website etc. To which the meeting agreed. No change to the constitution was made.
8) Communications - Website support for K.W. (J.W.) · JW said that we need to share the workload and make the website the responsibility of more than one person. KW agrees that it is in club’s best interest that someone else understands the work and could take over should there be a reason that he was unable to run the site. Rich Stephenson says that could have two websites (one with access from a variety of people, one as a more detailed record). KW says we need someone with a bit of tech knowledge and software. JW put forward to help. KW – procedures to be written. RS would like to see match reports. RB feels we need a succession plan – possibly for the site to be hosted externally. Steve Jayna (works in this field) to look at some possibilities with Joe and KW.
9) Isis Tour 2012 · Venues of Bath or Gloucester were suggested + Kempsford on bank holiday Monday. Action: K.W. And N.W. to organise.
10) The Queens College ground and contract (N.W.)
· We need to contact Queens College and ensure our next contract is secure. Action: NW

· KW took the chair, and on behalf of everybody associated with Isis Cricket Club he publicly thanked Keith Ponsford and Pete Wiblin for their outstanding work for the club in their roles as Chairman and Treasurer. LW was also thanked for his efforts as vice-captain in the past two years.
13) Club Membership/Match Fees · Match fees and club membership to stay the same: £25 membership, £6 for weekend games, £4 for midweek games. Concessions (unemployed, junior, student) = £10 membership, £4 weekend, £3 midweek - proposed RB, seconded JW. · Action: Members names to be posted on website. Discussion of whether we have an issue with non-members playing too many games; mixed feelings as to whether this is an issue or not.
14) Kit · Joe has the kit but no inventory taken as yet. Joe to do inventory and make proposal by email to Steve Jayna and KW (Action: JW) · Ensure enough match balls are ordered for the new season. Normally order enough for the season at about £10 per ball (Action: OW and NW)
15) Nets · Roy has booked Oxford Academy and is to send agreed dates and times to KW to publish on website. Roy has already paid for them this year. Treasurer to decide whether a fee will be charged to help subsidise the club in general. Could keep the same as this year.
· NH – Shirts: Does anyone want an anniversary shirt? Gus wants one, will need to pay. Stu is owed one. NW to send out email inviting people to have one last chance to get one. Action: NH to order shirst. Rich Stephenson to order 20 caps.
